How to retain data for a removed user

When you remove a user from your 4Degrees account, all of said user's contact data, contact notes, and interactions are removed from the system. If your team would rather retain this data, there are two different options that can be pursued, as outlined below. 

Prior to being able to move forward with either option, the 4Degrees team requires written confirmation that we can do so. This can be in the form of written permission from the departed user, or simply confirmation that the data can be retained due to an existing company policy.

Option a (decommission account but keep it in the org):

  • easy + quick to do
  • can see ownership of contact <> owner much more clearly (i.e. being able to reach out to a contact knowing that they were reached out to by the previous employee)
  • full visibility of interactions + contacts (including editability)
  • these contacts will be owned by the past employee, but if another user would like to own those contacts they can simply export the past employee's contacts and reupload them under their own
Option b (remove account and shift contacts + interactions)
  • all contacts will be shifted to one user specifically, after which there'll be no way to distinguish between whether these contacts first belonged to the past employee or not
  • no longer visible in the organization
  • interactions can be shifted to a specific user as well, but to/from relationship will not be what it originally was
  • when we shift user data from one to another, the user into which the data is being shifted will become assigned to all deals the former user was assigned to
