Adding and editing meeting notes

Meetings imported into 4Degrees from your calendar now allows you to edit the details of meetings  - this means you can now add notes, update the title, or adjust the date of any meeting directly within 4Degrees, without creating duplicate entries.

With this capability, you can now maintain a single source of truth for each meeting, along with ensuring that key knowledge is transferred and visible to other internal participants.

To do this:

  1. Navigate to any contact, company, or deal record where you can see your interaction log and find the imported meeting you want to add notes to or edit.  I
  2. Click the "..." icon in the top right hand of the the meeting, and select "Edit Interaction" to open up the editing interface.
  3. Update the title, date, and/or add rich text notes using the formatting options - and press "Edit Interaction" to save your notes once complete.

The system will immediately update the meeting record, and you'll see a note indicating who last edited the meeting and when.

Handling Editing Conflicts

We understand that multiple team members might edit the same meeting note around the same time, and might not be aware that a teammate has saved notes in the interim. To handle these situations:

  • If someone tries to save changes to a meeting note that another user has edited within the last 30 minutes, the system will preserve both sets of notes
  • You'll receive a notification about the conflict and be given the opportunity to consolidate the changes
  • If the last edit to a meeting note occurred more than 30 minutes ago, your new changes will take precedence / overwrite the previous version

This approach ensures that recent edits aren't accidentally lost while still maintaining a streamlined experience for edits that occur at different times.

A Note on Permissions

Anyone who was an attendee of a meeting can edit the meeting notes, and these edits will be visible to all users who have permission to see the meeting. This is different from our standard interaction capabilities, where you can limit who can edit your imported interactions.

This means that if you and your colleagues attended the same meeting, any of you can add or edit notes for that meeting, and those changes will be reflected everywhere the meeting appears in 4Degrees.
