Helping your team prepare for a smooth and successful onboarding

Welcome to 4Degrees! Our goal is to make your implementation seamless so you can start tracking deals, managing relationships, and collaborating efficiently as soon as possible.

This guide outlines:

  1. What to prepare before your Data Review Call
  2. What we’ll need from your team during implementation
  3. What to expect throughout the onboarding journey

Implementation Timeline (At a Glance)

Pre-Implementation Checklist

Before your first call, please review and prepare the following:

1) Data Preparation

  • Identify what data you’ll be importing: Contacts, Companies, Deals/Pipeline, lists/groupings, and any manual notes or interactions you’d like brought over.
  • If you can export your data in advance, please provide files in .csv or .xlsx format.
  • Include email addresses for every contact (this is the unique identifier in 4Degrees).

2) Access & Credentials

  • Confirm who owns access to your data and which systems you’re migrating from (e.g., DealCloud, Affinity, Excel).
  • If you’re coming from another CRM like DealCloud, we’ll request credentials after the Data Review Call to securely access data (if we’re exporting for you).
  • Let us know if your team uses SSO (Single Sign-On) so we can customize your onboarding materials.

3) Email & Inbox Setup

  • Confirm your team’s inbox setup. Note: 4Degrees does not support shared inboxes.
  • Identify which team members will connect their individual inboxes for syncing communications.

4) User Roles & Permissions

  • Share a list of users (names + emails).
  • Decide who should be an Admin (can manage teammates, lists, and data imports).
  • Let us know if you prefer one central Admin or if multiple users should have admin access.

5) Timeline & Access Window

  • Let us know if there’s a deadline or cutoff for losing access to your old CRM.
  • Provide an estimated go-live date or preferred implementation window so we can align on timing.

What to Expect in Each Step

  1. Data Review Call – We’ll review your data and align on structure, lists, and any special fields.
  2. Data Import & Implementation – The 4Degrees team cleans, structures, and uploads your data; we’ll keep you updated as we progress.
  3. Final Review & QA – You preview the imported data, confirm accuracy, and request any final changes.
  4. Onboarding & Training – We provide registration or SSO instructions, your custom onboarding guidebook (with SSO login screenshots if applicable), and host a live team training.

Pro Tips for a Smooth Implementation

  • Start preparing your data early — clean data saves time later.
  • Designate one project lead/admin to consolidate questions and approvals.
  • Keep a copy of your exported data for your records.
  • Ask questions early — we’re here to help!
